I. Agency On-boarding Checklist #
Purpose:
This checklist guides agencies through the process of completing their registration, verifying their identity, and providing all necessary information so that Brands can easily recognize them. It also enables the Permate Admin team to review and approve the agency before granting full access to the platform.
📋 On-boarding Process #
The checklist displays all required tasks, including:
- Personal Information: Name, position/title
- Public Profile: Profile photo, company name, website
- Contract Information
A progress bar and completion percentage are shown to track the onboarding progress.
Each section includes a status icon and a shortcut button that links directly to the relevant page in Account Settings.
📤 Submission & Review #
- Once 100% of the checklist is completed, a confirmation modal will appear, allowing the agency to submit its profile.
- Admin Review: The Permate team will review the submission and respond within 72 hours via email and a platform notification.
🔐 Account Status & Access #
- While the onboarding checklist is incomplete or under review, the agency will only have access to the On-boarding Checklist and Account Settings.
- All other platform features will remain locked until approval.
II. Required Steps in the On-boarding Checklist #
In Account Settings → Partner Information, make sure to complete all mandatory fields below:
- Company name
- Website
- Industry
- Services offered
- Introduction / About us
- Phone number
- Address
- Links to the agency’s social media pages

📑 Contract Submission #
You are also required to upload your Agency Contract Template under the Contract section.
This contract will be displayed on your agency profile within the marketplace for Brands to review before initiating a partnership. (The contract details are explained more thoroughly in the Contract Guidelines section.)
Mandatory fields in the Contract Template include:
- Contact Information: Confirm the agency’s official email and phone number. These will be recorded in the contract and used for communication throughout the collaboration.
- Contract Fee: The agreed-upon fee the agency will receive or pay as part of the partnership.
- Fee Structure: Choose how you prefer to be paid (e.g., Upfront Fee, Performance-based Fee, or Combined Upfront + Performance Fee).
- Performance Fee: The percentage commission earned upon meeting performance targets.
- Contract Details: A description of the scope of work, agency responsibilities, commitments, and conditions. This is crucial for Admins to evaluate clarity and transparency.
- Contract Duration: The validity period of the agreement (in months). Ensure the duration aligns with your planned activities and partnership expectations.
- Update Notification Period: Specify the number of days’ notice required before any contract updates take effect.
- Access Rights: Define the level of access the agency will have to the Brand’s account once the contract is active — e.g., campaign management, editing information, or viewing reporting data.
- Terms & Policies: Outline the main terms and policies governing the partnership.
- Attachments: Upload any additional documents relevant to the contract.
